Returns and Warranty on One RMA/Invoice
John Bridgwater (Bridgwater Automotive)
I know I have brought this up before3, but I can't seem to find it. I would like warranty and returns to be able to both be put onto one invoice. Several of my vendors will return everything on one RMA regardless of status. This makes for lots of adjustments and adding a found item. I would like the system to recognize that any given RMA or invoice number for a vendor is one document, regardless of whether it is a warranty or a return.

I would love to have this feature added as Napa, our main supplier consolidates the returns / warranty into one if it involves a core charge. It would be mighty handy if we could do it all on the same invoice similar to how we can add Expense items to a Supplier Invoices. I spoke with Napa and this is not something they have the ability to change unfortunately.

Understandably, it's important to have the ability to track warranty claims separately, but it would be nice if the system were able to consolidate a warranty return (parts) onto the same supplier invoice as returns. In other words, if they system recognized that it's the same return invoice # and blended them together. My work around has been to process a warranty claim and a return invoice separately and ensure the final total matches the supplier credit, but then I also need to remember I'm looking for two invoices with the same number when I reconcile my supplier statements.

Maybe this is just my lack of understanding, but is there a way to consolidate or look at the vendor as a whole that would allow us to consolidate returns/warranties/bills based on Invoice # at least at this point we could see that one supplier invoice had a credit, a warranty and a billed part all under the same inv#?

I agree. Tracking returns and warranties is very necessary. Also, to be have field for the shipping tracking number. It would be very useful to be able to print it and email it. It would be nice to see in the parts history, inventory parts history, when an item was returned and credited and the credit number and vendor and see a reference to which original invoice it was from.

I don't necessarily want them to be the same thing, but I do want the ability to put a warranty and a return both on the same RMA so it becomes one document when it pushes through back office to QuickBooks.

But then a regular return would track as a warranty. Warranty reporting is all based off what hits a warranty claim.
When I was an account manager in the parts industry, it was a condition of business from many of my largest customers to properly process returns.
In this case I see the need to account for what they do somehow, but ultimately a return and a warranty are different so I can't see making them one and the same in Protractor.
Some vendors lump returns, cores, warranties, and consignment replenishment on one invoice as well. It's another example where consignment should be tracked separately, but a supplier chooses to group things together for their ease.

Darren Williams understandable. Will need to talk to the vendor and set some requests to be followed.

Darren Williams, maybe there is a way to have a drop down/click button/ of some sort on the work order that will pop up when doing the warranty/return? then essentially they could go in the same bucket - with a column that says warranty/defective/return ?
